Helpful eBooks and Microsoft Lync Information

A short post today to offer assistance with Microsoft products.  The links included in this post are resources for free ebooks from Microsoft and then a Microsoft Lync help page which is an Instant Messenger (IM) tool that we use here at Washburn. 

A collection of free Microsoft ebooks is available from Eric Ligman, Microsoft Senior Sales Excellence Manager, with information ranging from Office 2013 to Microsoft operating systems.  This is a quick helpful link to a variety of free documents Microsoft provided.

The other helpful web site is one for Microsoft Lync.  As mentioned, Lync is an Instant Messenger (IM) that is available to faculty, staff, and students to use here at Washburn.  Many departments are already using Lync to communicate with one another, other departments, or with students.  It is a quick and easy way to talk with a group of people or conduct a video conference call with a group too.

A list of help topics is available from the Microsoft web site listed below.  Lync is already installed on all Washburn computers (Start > All Programs > Microsoft Office 2013 > Microsoft Lync 2013).  It is possible to install Lync on your home PC or Mac and it can also be installed on your mobile device too.

Office 365 Progress and Preparation

Information Technology Services has finished migrating to Office 365.  All ITS staff are now using Office 365 for our email and calendar.  All of our student workers are using the new Office 365 as well.  We are happy to report that everything is working great! 

As we prepare to migrate those individuals that volunteered to be early adopters, we are working on documentation as well as the schedule for migrating all of campus.  We have the web site (http://www.washburn.edu/a-z-index/its/email-calendar) where we will be posting documentation, migration schedule, pre-migration, and post migration steps.  We will also be announcing drop in sessions for question and answer one-on-one sessions.

A few items to remind you about that are also listed on the web site (http://www.washburn.edu/a-z-index/its/email-calendar/prepare-migration.html) include:

  1. Delete any unneeded mail – Delete any email you do not need to keep. This will help your migration go faster.
  2. Trash Folder – Empty your trash and keep it empty. The trash, deleted, and deleted items folders will not be migrated to the new system. If you need assistance checking your Trash folder settings to make sure that messages are being purged, please contact 785-670-3000 or email support@washburn.edu. If you are using the Trash folder as a “staging area” for email prioritization, you will need to come up with a different folder to use for that purpose.
  3. Folder names — Remove any special characters from folder names to ensure a smooth transfer. Special characters include: !@#$%^&*
  4. Large messages/attachments — Large messages greater than 25 MB  may not easily migrate to the new system, so be sure to download any attachments you need to keep. Thunderbird will allow you to search for messages by size. MyWashburn webmail will allow messages to be displayed by size which can help locating large files.   5. Save any .exe attachments — The new email system will not accept email attachments with executable files (even if they are zipped), so be sure to save any .exe files before your migration.

Office 2013 Delayed to January 2014

We have not found any problems to keep us from going to Office 2013.  The product is working as expected and in some respects, I like it better than Office 2010.  With the notice not going out until just before everyone left for the summer and we did not want to surprise anyone when they returned for the fall semester, we decided to wait until January 2014 to roll out Office 2013.

We will be communicating during the fall semester with tutorials, training, and information.  So, please watch for that information to go out once we get the semester started.

If you would like to begin using Office 2013 in your office before January, please contact ITS User Services via email support@washburn.edu or by phone 785-670-3000.  We will have Office 2013 installed on the computers in Bennett 102 for you to use and then also for training.

Office 2013 Evaluation with Deployment for Fall 2013

Microsoft has released a new version of the Office suite.  Over the course of the summer, we will be evaluating when we should migrate to the new version.  The new version is 2013 and while it has a lot of the same features, the user interface has been updated.

The new version has already shown up on new computers and students, faculty, and staff are able to purchase Office 365 which includes Office 2013 for their personal computers.  Microsoft always allows for backward compatibility and in this case it is no different.  Office 2013 will be able to open older versions and there is a conversion tool available to be able to open 2013 files on older installations.

By July, we will have reviewed Office 2013 to determine if there are issues that would delay us to a later date for the update.
